Information we collect

When you use the public contact form, ArcTechOne collects the name, company, email address, optional phone number, inquiry topic, and message you provide.

The inquiry may also include limited first-party context such as the landing or source page, a sanitized document referrer, and UTM campaign values supplied in the page URL.

The website and the providers that operate it may also process basic technical and usage information needed to serve, protect, and measure the site, such as an IP address, browser or device information, requested pages, timestamps, and error or security events.

First-party usage analytics

ArcTechOne uses a lightweight first-party analytics system and Google Analytics to understand how the public website is used. They may record pages visited, timestamps, referral source, UTM campaign values, browser or device information, approximate city, region, and country, and selected interaction events such as phone, email, and request clicks, form attempts, accepted contact-form submissions, and delivery errors. These analytics events do not contain contact-form fields or message text.

The analytics system uses a random first-party anonymous visitor identifier and a session identifier so page views can be grouped into a visit and repeat visits can be recognized where the browser continues to provide that identifier. These identifiers are not intended to identify a person by name.

ArcTechOne does not intentionally store raw IP addresses in this first-party analytics database, does not use this analytics feature to collect precise GPS location, and does not record passwords, keystrokes, contact-form message contents, or arbitrary text entered into forms.

Referrer URLs stored for analytics are sanitized. Arbitrary query-string values and fragments are removed; only recognized analytics campaign parameters such as UTM values may be retained.

How we use information

ArcTechOne uses information from the website to:

• Respond to requests and review service inquiries.
• Communicate with you by phone or email.
• Understand which pages, referrals, campaigns, and calls to action are useful.
• Operate, protect, troubleshoot, and improve the website.
• Maintain internal business and communication records.

Contact form processing

ArcTechOne uses the business contact information you submit to review and respond to your inquiry. The inquiry may be stored in ArcTechOne's internal customer relationship system and is also delivered to ArcTechOne by email.

When a contact request is successfully delivered, the first-party analytics system may record a submission linked to the anonymous visitor and session. Google Analytics may record the page, a controlled business-inquiry or support-request category, and the submission event. These records do not contain the name, email address, phone number, company, inquiry topic, or message text submitted in the form.

Service providers used to host and operate the site, store internal business records, and deliver messages may process this information on ArcTechOne's behalf. The site currently uses Resend for contact-form email delivery.

Do not submit passwords, access codes, financial details, resident information, or other sensitive credentials through the public form.

Site question assistant

The site assistant searches ArcTechOne's published website content. When AI is available, it can explain and combine that content, link to relevant site pages, and provide labeled general business IT guidance. AI explanations can contain mistakes; confirm purchase decisions and project scope with the team. When AI is unavailable, the assistant displays matching site excerpts. It also offers guided steps for quote requests, contacting the team, and customer support. It does not access customer records, private documents, or support systems, calculate a quote, make a service commitment, book an appointment, or submit a request automatically.

Details entered in the guided quote form remain in browser memory and are not sent to AI or included in website analytics. Choosing “Review quote request” copies those details into the contact form, where you can edit them and add business contact information. ArcTechOne receives the inquiry only when you choose “Send request.” Refreshing or closing the page clears the unsent assistant draft.

When AI is enabled, your current question, up to three previous questions and assistant replies from this browser page, and a limited set of public site excerpts may be sent to Google's Gemini API to generate an explanation and a follow-up question. Use “New chat” to clear the conversation and follow-up context. Google's free tier may use submitted content to improve its products under Google's applicable terms. If AI is unavailable, the assistant uses ordinary site search.

ArcTechOne does not intentionally store question text or send it to website analytics or advertising tools. Questions and results remain in the current browser page until it is refreshed or closed. The hosting provider and Google may process requests under their own policies. Abuse controls use temporary counters and a keyed hash of a network identifier; when configured, Upstash Redis stores those counters rather than question text or raw IP addresses.

Use the assistant for general site questions only. Do not include passwords, access codes, resident information, financial details, or other private information. Use the contact or customer-support page for a direct handoff.

Measurement and advertising tools

ArcTechOne uses Google Analytics, Google Ads measurement, and OpenAI Ads Measurement, in addition to the first-party analytics described above. Only successfully delivered business inquiries are sent as advertising lead events; current-client support requests, failed submissions, and spam-trap submissions are not sent as advertising leads.

Those providers may process technical or usage information under their own terms and privacy practices. ArcTechOne limits its own first-party analytics collection to the information described in this policy.

Sharing

ArcTechOne does not sell personal information submitted through this website. Information may be processed by service providers needed to host and protect the site, provide analytics or advertising measurement, operate the internal customer relationship system, deliver contact-form email, and support business communications. ArcTechOne may also disclose information when reasonably necessary to comply with law or protect the site, the business, or others.

Data retention

ArcTechOne retains inquiry and website analytics information for as long as reasonably necessary for business communication, service follow-up, site measurement, security, record-keeping, and legal or operational purposes.

Security

ArcTechOne uses reasonable administrative and technical measures to protect information submitted through or generated by the site, but no internet transmission or storage system can be guaranteed fully secure.

Changes to this policy

ArcTechOne may update this policy as the website, service providers, or business practices change. The date above identifies the latest published version.
