Start with the opening date, building access, vendor lead times, and the person who can make or approve technology decisions for the location.
- Confirm the opening date, move-in sequence, address, suite details, and building access rules.
- Order internet and phone services early enough for the provider's lead time and installation requirements.
- Name the project owner and list the internet, phone, security, landlord, and hardware contacts.
- Record what the landlord or building supplies and what the management company must purchase or configure.
Prepare the employee workspace
The office should be tested with the devices and workflows employees will actually use. A provider handoff is not the same as a working leasing desk.
- Prepare workstations, monitors, docks, chargers, printers, scanners, phones, and required accessories.
- Set up employee accounts, email, shared mailboxes, calendars, files, authentication, and property application access.
- Configure business Wi-Fi and any separate guest or resident network that the building requires.
- Test printing, scanning, calls, video meetings, shared files, sign-in, and the leasing workflow from each desk.
Document the day-one handoff
A short handoff record helps the office stay supportable after the opening team arrives and makes unresolved work visible instead of assumed complete.
- Save provider tickets, circuit details, equipment inventory, warranties, account owners, and vendor contacts.
- Record Wi-Fi, printer, phone, device, and application details in the approved documentation location.
- List any open issue, workaround, dependency, and owner with a date for follow-up.
- Schedule a post-opening review after the team has used the office in real operating conditions.
